Questions About Working With Us

How do I get started?

The first step is to contact us through our Contact page, by email at info@designurbanpulse.co.uk, or by telephone at . We will arrange an initial consultation to discuss your requirements, answer your questions, and determine whether we are a good fit for your project. Following this consultation, if you wish to proceed, we will prepare a detailed proposal outlining scope, deliverables, timeline, and pricing.

What information do you need from me to provide a quotation?

To provide an accurate quotation, we need to understand your project requirements. Useful information includes a description of what you need, your objectives and goals, your target audience, your timeline expectations, any specific requirements or constraints, examples of design styles you like, and your approximate budget range. The more information you can provide, the more accurate our quotation will be. However, we understand that you may not have all details finalised, and we can discuss your requirements during an initial consultation.

How long does it take to complete a project?

Project timelines vary depending on scope and complexity. Simple projects such as business card design might take one to two weeks, whilst more complex projects such as comprehensive brand identity development or full website design could take several weeks or months. During the quotation process, we provide estimated timelines based on your specific project requirements. We always aim to meet agreed deadlines and communicate proactively if any circumstances arise that might affect timelines.

What is your design process?

Our design process typically includes several stages: initial consultation and discovery, strategic planning and creative development, design execution and presentation, review and refinement based on your feedback, and final delivery. Throughout the process, we maintain regular communication, provide progress updates, and ensure you are involved at appropriate stages. The exact process may be adapted based on specific project requirements.

How many revision rounds are included?

The number of revision rounds included varies depending on project scope and is specified in individual project proposals. Typically, we include two to three rounds of revisions for most projects. Revisions must be requested within specified timeframes and should relate to work previously reviewed. Additional revisions beyond those included in the project scope may be provided at additional cost. We encourage comprehensive feedback during each review stage to make the most efficient use of revision rounds.

Can I see examples of your work?

We maintain a portfolio of selected projects that demonstrate our design capabilities. We are happy to share relevant portfolio examples during initial consultations. Please note that some projects are subject to confidentiality agreements and cannot be included in our public portfolio. If you would like to see examples of work similar to your requirements, please mention this when you contact us.

Questions About Pricing and Payment

How much do your services cost?

Our pricing varies depending on project scope, complexity, timeline, and specific requirements. We provide transparent, detailed quotations for all projects following initial consultation. Rather than offering rigid package pricing, we tailor our services and pricing to your specific needs. This approach ensures you pay for exactly what you need without unnecessary additions. For general guidance, simple projects might start from several hundred pounds, whilst comprehensive projects could extend to several thousand pounds or more.

Do you offer package deals or fixed-price services?

Whilst we primarily work on a custom quotation basis tailored to specific requirements, we can discuss package options for clients with clearly defined needs or those requiring ongoing design support. For clients with regular design requirements, we offer retainer arrangements that provide predictable monthly costs and priority access to our services. Contact us to discuss options that might suit your situation.

What are your payment terms?

Our standard payment terms typically require a deposit (usually fifty percent of the total project value) before work commences, with the balance due upon project completion before final delivery. Specific payment terms are detailed in individual project proposals and may vary based on project size, duration, or other factors. For larger projects, we may arrange milestone-based payment schedules. We accept payment by bank transfer, and full payment details are provided in project agreements.

What happens if I need to cancel a project?

Either party may terminate a project by providing written notice. In the event of cancellation, you are responsible for paying for all work completed up to the date of cancellation, calculated on a pro-rata basis. Any deposits paid are applied towards completed work. Materials and files remain our property until full payment for completed work is received. Our full terms regarding project termination are detailed in our Terms and Conditions.

Technical and Delivery Questions

What file formats will I receive?

The specific file formats provided depend on your project type and requirements. For print design work, we typically provide high-resolution PDF files suitable for professional printing, along with source files if included in your project scope. For web design, we deliver functional websites with appropriate hosting setup. For logo design, we typically provide vector files (AI or EPS), along with various export formats suitable for different uses (PNG, JPG, etc.). We discuss file format requirements during project planning to ensure you receive what you need.

Do you provide print services?

We are primarily a design agency rather than a print provider. However, we have relationships with professional print suppliers and can coordinate printing on your behalf if required. We can recommend suitable print suppliers, obtain print quotations, provide technical guidance on print specifications, and manage the print production process. Print costs are separate from design fees and are charged at the printer's rates plus a reasonable project management fee if we are coordinating printing.

Will my website be mobile-friendly?

Yes, all websites we design are fully responsive, meaning they adapt appropriately to different screen sizes and devices including desktop computers, tablets, and mobile phones. Responsive design is standard practice in modern web development, and we ensure all websites function well across all common devices and browsers. We test websites thoroughly across multiple devices before delivery.

Can you help with website hosting?

Yes, we can provide guidance on website hosting options and can assist with setting up hosting if required. Whilst we do not directly provide hosting services, we can recommend reliable hosting providers suitable for your needs, assist with the technical setup, and coordinate the website launch process. Hosting costs are separate from design fees and are paid directly to the hosting provider.

Do you provide ongoing website maintenance?

We can provide ongoing website maintenance and support through separate maintenance agreements. Maintenance services can include content updates, technical updates, security monitoring, backup management, and general website support. If you require ongoing maintenance, please discuss this with us so we can provide information about available maintenance options and associated costs.

What about search engine optimisation (SEO)?

Our web design services include basic search engine optimisation best practices such as proper page structure, appropriate heading hierarchy, descriptive page titles and meta descriptions, mobile responsiveness, and fast page loading. However, we do not provide comprehensive SEO services such as keyword research, link building campaigns, or ongoing SEO management. For extensive SEO requirements, we can recommend specialist SEO consultants who can complement our design work.

Questions About Rights and Ownership

Who owns the final design?

Upon receipt of full payment, ownership of final approved deliverables is transferred to you for the purposes agreed in the project scope. You have the right to use these deliverables for your business purposes. However, ownership of preliminary concepts, draft versions, unused alternatives, and our general design methodologies remains with Urban Pulse Design Ltd. Detailed ownership terms are specified in project agreements.

Can you use my project in your portfolio?

Unless you explicitly request otherwise, we reserve the right to include completed projects in our portfolio for promotional purposes. Portfolio usage presents work professionally and does not disclose confidential business information. If you require that your project remains confidential and excluded from our portfolio, please notify us in writing and we will honour this request.

What about source files?

Whether source files are included depends on your project scope and requirements. For some projects, particularly those where you may need to make ongoing changes, source files may be included. For other projects, you receive final deliverables in appropriate formats without source files. Source file provision is discussed during project planning and specified in project proposals. If source files are important to you, please mention this when discussing your requirements.

Questions About Privacy and Data Protection

How do you handle my personal information?

We take data protection seriously and handle all personal information in accordance with UK GDPR and the Data Protection Act 2018. Our Privacy Policy provides comprehensive information about how we collect, use, store, and protect personal data. We implement appropriate security measures, maintain confidentiality, and only use personal data for legitimate business purposes or with your consent.

Do you share my information with third parties?

We do not sell personal data to third parties. We may share information with trusted service providers who assist us in operating our business (such as hosting providers or payment processors), but only to the extent necessary and under contractual obligations to protect your data. We may also disclose information when required by law. Our Privacy Policy provides detailed information about data sharing practices.

How long do you keep my information?

We retain personal data only for as long as necessary to fulfil the purposes for which it was collected and to comply with legal obligations. For client data, we typically retain records for a minimum of seven years following project completion to comply with tax and accounting requirements. For enquiry data where no services are engaged, we typically retain records for up to two years. Our Privacy Policy provides comprehensive information about data retention.
